Enclosures to the letter

Two client projects in use today and one prototype, each with its current status. I only name clients with their permission, so you’ll see their industry instead. Enclosure 4 answers questions about data and costs.

Orders from the inbox, straight into the shop’s format

Enclosure 1 · For a paint manufacturer, via a Düsseldorf agency · in operation since 2025

Retailers send their order as an Excel, CSV or PDF file to a fixed address. A few minutes later they get back a finished import file for the online shop, with a note on every line that couldn’t be matched.

Automated
Seven order formats, including PDFs in Polish and Vietnamese, are recognised and converted without anyone retyping them.

Enclosure 2 · For a Düsseldorf agency · Prototype for a proposal

You type what you’re looking for, say the invoice for the autumn flyers, and the search finds the document by its content, including scanned receipts. The files stay where they are.

Before
The server’s search mostly found only file names, and its index kept failing.
In testing
On a test server with 487 invented files, the right document came first in 22 of 25 cases.

A learning platform with share analysis and a portfolio overview, plus the website that sells the courses.

New contacts go into the CRM automatically, courses are paid for online, and the team updates the content itself.

Enclosure 4 · Data, access and costs

Where is my data kept?
Wherever possible, where it already is today. The document search, for example, is designed so that the files and the search index stay with you; for analysis, text extracts and scanned pages go to AI models at a hosting provider in Germany.
Who can see it?
The database itself decides who may see what, not just the application. So in software used by several clients, no client sees another client’s data, even if the program has a bug.
What does the AI cost?
I’ll give you the running costs in writing before you place the order. The orders in Enclosure 1 run without any AI at all.
